Steps To Share Calendar In Outlook

Outlook email client comes with lot of features and one of them is its ability to allow the user to share calendar. According to OmniTech Support technicians, in order to share the calendar, it is necessary that your Outlook program is setup with the Microsoft Exchange Server. In this post, we will find out how to share the calendar in the program.

Steps Involved

Launch the Outlook program and in the left pane, you will see the option Open a Shared Calendar. This link is for launching an already shared calendar. In order to share the calendar, follow the steps below.
  • Choose the option Share my calendar in the program. 
  • Select the button Add. 
  • Type the name of the person with whom you wish to share the calendar. 
  • Choose the button Add and then click OK. 
  • In the field for Name, type the name of the person you added in the above step. 
  • Under the option Permissions, choose Permission Level. Choose the level as per your wish. 
  • Since the changes in settings need to be updated with the server, it might take a few minutes for the changes to take effect. 
Just as you have shared a calendar, you can view the calendar of other people if they have shared it with you. However, the other person should give prior permission for it. Now, let us find out how to view the shared calendars in the program.
  • Launch Outlook program from its desktop shortcut. 
  • Choose the option Calendar from the left pane of the program. 
  • You will find the link for Open a shared calendar. Click this link. 
  • Type the name of the person whose calendar you wish to view. You may also choose the button Name and choose the name of the person from the list that comes up. 
  • Click the button OK. 
  • With the above step, the calendar of the other person would show up on your screen. This calendar will come up near your calendar and will have a different color so that you can differentiate them easily. 
  • The calendar of your colleague will be present in the area for Other Calendars. You may hide or view the calendar by selecting the checkbox option in the program.
